Speaking up is challenging, often burdened with fears of retaliation and isolation. Anonymous reporting lowers these barriers, fostering a safer environment for employees to raise concerns. As a SpeakUp Officer, how you respond to anonymous reports is crucial. While each case may require a tailored approach, several general principles can guide your responses to build trust and effectively address the issues raised.

General principles for responding to anonymous reports

  • Build trust first: Before delving into the details of the case, focus on building trust with the reporter. Explain their options and rights to reassure them that their information will be handled seriously and respectfully.
  • Acknowledge receipt: Showing that you have received and are taking action on the report demonstrates your commitment.
  • Use neutral language: Maintain a neutral tone to avoid making the reporter feel accused or judged.
  • Take concerns seriously: Reassure the reporter that their concerns will be taken seriously, even if the SpeakUp channel isn't the correct one. Ensure the report gets to the right internal parties.
  • Keep the reporter informed: Regular updates on the status of their report, as outlined in your organisation's SpeakUp policy and/or investigation procedure, are essential to maintain their trust.

Report needs further investigation:

Kindly note that  you can still access the communication for next 30 days and this does not limit your possibility to raise a new concern about this or about  another compliance related topic in the SpeakUp line.  


Transitioning from a compliance culture to a SpeakUp culture requires encouraging and supporting those who choose to speak up. Building trust is critical and can make handling reports smoother. When an anonymous reporter feels safe, they may switch from anonymity to confidentiality. Furthermore, if an anonymous report triggers an internal investigation that can be substantiated without relying solely on the original report, it’s possible to remove the reporting person from the record.
