Understanding Date Fields
SpeakUp works with different date fields:
- Received on: The date the report was submitted by the Reporter (automatically populated), or the date the Issue was created manually (entered by the user).
- Created on: The date the Issue was created in the system.
-
Acknowledged on: The date is determined by your system setting for “Acknowledgement of receipt.”
-
Due date: The date selected as the 'due date' for the Issue.
-
More fields: Additional fields that have been customised for your specific Issue type.
-
Last updated: The date the Issue was most recently modified.
Let's clarify as to why we have the specific date fields: Created On, Received On, and Acknowledged On.
-
Created On reflects the date the report was entered into the system. This can happen either when a reporter submits a report via SpeakUp (web, app, or phone) or when a user manually creates an Issue. This timestamp is generated automatically and cannot be edited. It is displayed at the bottom of the right-hand panel within each Issue.
-
The Received On date, by default, is the same as the Created On date; however, this field can be modified. This flexibility is intentional. For example, when an Issue is logged manually, users may want the Received On date to show when the report was actually communicated to them, rather than when it was entered into the system. Some organisations also use this field to track process-related milestones, such as when a response was received.
- The Acknowledged On date is determined by your system’s Acknowledgement of receipt configuration. Depending on how this setting is defined, the date will reflect either the original receipt date or the date of the first reply. This behaviour is configurable and can be selected by your administrator(s) in Configurations How do I change 'acknowledged on' date within an Issue?
All standard system reports and graphs are based on the Created On date.
All dates (except for ‘Data retained until’) in the Issue Overview are timestamps in ISO 8601 format. To further understand this format, check out Understanding the timestamp from the Issues export.
