What is proxy reporting?
Proxy reporting lets one User file submissions and complete Campaign assignments in the SpeakUp Hub on behalf of another User.
The person who files is the Proxy; the person the submission is recorded under is the Principal.
It is useful when someone cannot or does not complete their own disclosures, for example an assistant filing for an executive, or a manager filing for employees without device access.
Proxy reporting is set up by an Administrator. Refer to How do I set up proxy reporting? to learn more.
Any User on the Proxy list can act on behalf of any User on the Principal list. Proxies and Principals are not linked in one-to-one pairs.
The two roles:
- Proxy: a User who is allowed to act on behalf of others. The Proxy logs in with their own account and switches into a Principal's view to file on their behalf.
- Principal: a User who can be acted on behalf of. The Principal is recorded as the Reporter of the submission, exactly as if they had filed it themselves.
The Proxy experience:
A Proxy stays logged in as themselves and switches context to a Principal when they want to file on that person's behalf.
They select "Act as another user" from their user menu, choose a Principal, and the Emloyee Hub switches to that Principal's view. A banner confirms they are acting on someone's behalf, and the avatar is replaced with an "Acting as {name}" button they can use to switch back or log out.
While acting as a Principal, the Proxy sees the channels and tiles that Principal has access to, and the Principal's open Campaign assignments so they can complete them. They only see the submissions and responses they filed themselves for that Principal, not items filed by the Principal or by other Proxies.
A Proxy keeps access to the submissions and responses they filed only while proxy reporting remains enabled, they stay on the Proxy list, and the Principal stays on the Principal list. If any of these conditions change, that access ends. The Principal always retains full access.
The Principal experience:
The Principal is the Reporter of record. Everything filed on their behalf appears in their own dashboard, and they can read and reply to case handler follow-ups themselves.
Whenever a submission or Campaign response is filed on their behalf, the Principal receives an email naming the Proxy who filed it, so they can recognise it and act if it was not authorised. The email does not contain the submission itself; it directs the Principal to log in to view it.
The "Submitted by" field records the Proxy who actually filed each submission, giving a clear audit trail of who filed what on whose behalf.
A submission stays in the language it was filed in. If the Proxy and Principal use SpeakUp in different languages, the Principal sees the submission and its follow-ups in the language the Proxy used.
