How does email branding work in SpeakUp?

When SpeakUp sends notification emails on behalf of your organisation, it automatically applies branding based on two elements: the visual settings you have configured in the "Branding" tab (How do I add custom branding?) and the sending identity you have defined in the "Email identity" section (How do I set up a custom email sender for my organisation? )

This article explains which elements are applied, in which situations, and to which types of emails.

Branding applied to organisation emails

Organisation emails are system notification emails sent to your team members, such as invitation emails, campaign notifications, Issue updates and submissions (Hub). For these emails, SpeakUp applies the following from your Branding settings:

  • Logo: Your uploaded light logo appears in the email header. If no logo has been uploaded, the SpeakUp default logo is used instead.
  • Header colour: Your configured primary colour is used as the background colour of the email header. If no primary colour has been set, the SpeakUp default colour is used.
  • Sender address and name: If you have set up and verified a custom sending domain, emails are sent from your configured "From email" and "From name". If no custom domain is configured, or if your domain is still being verified, emails are sent from the SpeakUp default sender.

What gets applied to Reporter emails

Emails sent to the reporter always use the SpeakUp default template and sender, regardless of what your organisation has configured. Your logo, primary colour, and custom sender address are never applied to these emails.

This is by design. Reporter emails are kept independent from your organisation's branding so that reporters can trust the channel is not controlled by their employer. This cannot be changed. 

How email branding settings are applied

Email branding is managed together with your general platform branding. The logo and primary colour used in emails are taken from the "Platform branding" section of the "Branding" tab under "System" and "Configuration". There is no separate, email-specific setting for these elements.

Any changes you make to your logo or primary colour apply both to the platform interface and to outgoing emails. Email branding is configured at organisation level and cannot be set per Channel or per workspace.

  • If your custom sending domain is in a Pending or Failed state, all organisation emails fall back to the SpeakUp default sender until the domain is verified.
  • The system user invitation email is the only organisation email that retains a SpeakUp product name mention in its subject and body, as it is used to onboard new users to the platform.
  • There is no in-app preview of how a branded email will look. To see the result, send yourself a test notification after configuring your branding.

Emails sent to Reporters are always sent from SpeakUp's default sender, regardless of your Email identity configuration. This preserves the independence of the reporting channel.
